Meeting recording privacy: what to check

Meeting recording privacy involves more than where an audio file is stored. Clarify who knows about the recording, who can access the transcript, how long information is retained, and how deletion works before making recording a routine part of your team's work.

Identify the product and workflow

Before recording

  • Explain the purpose of recording, the processing service and the intended audience to participants.
  • Check your organization's rules for handling the information being discussed.
  • Consider whether sensitive information that is unnecessary for the discussion can be kept out of the call.
  • Check host admission and any separate recording permissions required by the platform.

This is an operational checklist, not a legal determination that a particular recording is permitted. For work with special requirements, consult the person responsible for those requirements in your organization.

Before sharing the result

Inspect the transcript and summary for names, quotations, proposals and project details. Review the content for accuracy, then check who can open any sharing link. Sending a summary is different from sharing the full recording, but the summary can still contain sensitive information.

Identify the person responsible for reviewing the audience and approving the final record. An automatically generated summary should not decide who needs access. If you copy a transcript into another tool or send it as an attachment, consider that copy separately from the original service's sharing controls.

Retention and deletion

Read the current policy for retention periods, deletion requests and treatment of backups. A recording disappearing from a page is not evidence that every copy in every system was immediately erased.

Review the Flow privacy policy and the Meeting privacy policy for the product you actually use. The applicable policy and your organization's agreement are the sources for commitments about encryption, processors, retention and deletion.

If you require on-premises deployment, fully offline processing or immediate deletion from backups, confirm each requirement in writing before purchasing. A general blog article does not establish that these capabilities are available or that a service meets a specific compliance obligation.
